The Professionals Table
The Professionals table at the bottom of the page lists members of your organization and includes the following information:
|
Name fields |
The member's full name. |
|
Network ID |
The member's ID to log on to your organization's network, including the domain name. A Windows network ID must be qualified by the domain (e.g., USA\W010) and a Novell network ID must be in full context (e.g., username.dept.location.us). Note: If your organization is set up to use West km custom authentication, a custom user name and password are used for login credentials and the network ID is not used. |
|
Westlaw ID |
The member's password to sign on to Westlaw Classic. You can include both numbers and letters, but only the numeric portion is required. Although the user interface requires that you enter a value, Westlaw passwords in the Professionals table are used as part of West km user validation only when the user accesses Westlaw Classic (not WestlawNext) and if West km custom authentication is used. |
|
Active User |
When selected, the member is able to access your organization's documents in West km. You can have as many active members as provided in your license agreement. |
|
Westkm Admin |
When selected, the member has rights to the West km setup pages, to the West km Vetting Toolkit, and to manually delete documents from West km. |
|
Information |
When selected, and if also an annotator, the member has rights to edit all annotations. |
|
Tech Support User |
When selected, the member accesses West km for technical support purposes. If designated for your organization, these members are not counted against your license agreement. |
|
Annotator |
When selected, the member is able to add comments and mark files as exemplar. The member is also able to edit his or her annotations. (If the member is also an information manager, he or she has rights to edit all annotations.) |
|
Vetting Editor |
When selected, the member has access to the West km Vetting Toolkit (except the Administer Fields, Vetting Display, and Administer Rule Groups pages). |
|
Novell Network ID |
The member's ID to log on to your organization's Novell network, provided in full context (e.g., username.dept.location.us). This field authenticates the member for document security when Novell network software is being used at your organization with eDOCS DM and when user accounts in your DMS are mapped to Novell accounts. To enable this field, you must also select the Use Novell Credentials for Security option when adding database connections. Note: If your organization has a Novell network and a DMS other than eDOCS DM, enter Novell network IDs in the Network ID field instead. |
To change the order of the table listing, click the column heading by which you want to sort.
Note: If your organization uses West km custom authentication, the Professionals table will also include columns for Custom User Name and Custom User Password. For more information, refer to the Administrator Guide.
Note: The Professionals table will include columns for DMS UserID or DMS Password (or both) if your organization
- uses WorkSite (iManage) as its DMS and uses virtual logins rather than NT integrated logins
- uses eDOCS DM as its DMS and requires that user-based access records be logged when members request documents from the DMS when using the Load Copy feature
- uses NetDocuments as its DMS and uses NetDocuments security to determine document access rights
Finding a Member
You can use the Search Criteria area on the Professionals page to easily find the listing for a member of your organization.
- In the Search Criteria area, select whether you want to search for an inactive member, an active member, or both.
- If you want to include author names in your search, select the Include Authors check box.
By default, only member records with a network ID or a custom user name are displayed in the Professionals table. Additional member records (i.e., author names) are added to the West km database during the indexing process from information in your DMS and are available for display by selecting this check box.
- Type either the full name or last name of the member in the appropriate text box. Results will contain the specified text anywhere in that portion of the name.
If you are searching for author names, enter the name in the Full Name text box rather than the Last Name text box, because only the Name field is populated for these records.
- Click Search.
The members matching your search criteria are listed in the Professionals table. (To display all members in the Professionals table, select Both in the Search Criteria area, clear any values in the text boxes, and click Search.)
Adding a Member
If a member isn't listed in the Professionals table, you can add the member:
Note: To avoid duplicate entries, always check the Professionals table for the member before adding a new entry.
- Type the member's information in the first blank row of the text boxes in the table. A red asterisk indicates required information.
- Repeat step 1 for as many as four additional new members.
- Click Add Professionals.
If you want to add an extensive list of members to the Professionals table, you can import members. For more information, refer to the West km Administrator Guide.
Editing a Member
You can edit a member's listing, for example, to activate or deactivate a member or add information for a member:
- Click Edit next to the member's listing in the Professionals table.
- Make the changes to the member's row and fill in all required information, which is marked with a red asterisk.
- Click Update.
Exporting Members
You can export data displayed in the Professionals table to a file of comma-separated values. You can then compile that data in another program, such as Excel, to analyze your West km member information in a more usable format.
To export data from the Professionals table to a file,
- Click Export Professionals on the Professionals page.
- In the File Download dialog box that is displayed, click Save.
- In the Save As dialog box, navigate to the folder where you want to save the file, type a file name, and click Save.
- In the Download Complete dialog box (if displayed), click Close.
