Setting Up the Indexing Server
At the Indexing Server Setup page, you can indicate how indexing components should be processed, define indexing service windows, and add or remove indexing servers.

Defining Indexing Service Windows
Adding or Removing Indexing Servers
Changing the Primary Indexing Server
To access the Indexing Server Setup page, point to the Setup link, and then click Indexing Server Setup. Information is displayed for your primary indexing server, which schedules and controls indexing and any other indexing servers. If more than one indexing server is defined, the primary indexing server is also marked with an asterisk (*) in the left frame.
Setting Options for Indexing Components
To set options for indexing components, complete these steps:
- At the Indexing Server Setup page, click the name of the server for which you want to set options in the left frame.
-
In the right frame, select the options you want in the Indexing Components section:
-
Suspend: If you select Suspend for an indexing component, processing for that component is suspended for all document collections during indexing, regardless of the settings for the individual document collections. (If you select this option, it will stay selected until you clear it.)
If not selected (the default), processing for that component proceeds during indexing according to the settings for the individual document collections.
Process by Component: If you select Process by Component for an indexing component, processing for that component will continue until no more documents are available to be indexed before moving on to process the next component. (If you select this option, it will stay selected until you clear it.)
If not selected (the default), a subset of documents to be indexed is processed by all the indexing components (according to the settings for the document collection) before moving on to the next subset of documents. The number of documents in the subset is determined by the thread count. By default, 10 threads are used, with a maximum of 10 documents processed per thread.

Defining Indexing Service Windows
Indexing service windows define the time period during which the following indexing processes can occur:
|
Service Window |
Description |
|
Document Scheduling Window |
The time window during which document collections can be automatically scheduled for incremental indexing updates. (Note that scheduling occurs only when both the document scheduling window and the regular document indexing window are open.) |
|
Document Indexing Window |
The time window during which indexing can run. |
|
Document Sync Window |
The time window during which synchronization can be automatically scheduled and can be run. |
|
Purge Window |
The time window during which indexing job information that's no longer needed can be cleaned up. |
Note: These windows do not define time windows for or schedule full-text indexing. For more information about defining time windows for and scheduling full-text indexing, see Full-Text Indexing.
Adding Indexing Service Windows
To add an indexing service window, complete these steps:
- At the Indexing Server Setup page, click the name of the server for which you want to add windows in the left frame.
- In the right frame, click Add Window under Service Windows.
- Select the indexing service for which you'd like to define a window.
If you are setting up a document indexing window and you want the window to apply only to specific data sources or document collections, click the Edit button in the Collections column. In the Select DMS & Collections dialog box, select the sources/collections you want and click OK.
If no selections are made for a window, the window applies to all connections/collections and is referred to as an All window.
For more information about using this feature, see Using Multiple Indexing Service Windows.
- Select the frequency for the window. Weekdays refer to Monday through Friday. Weekends refer to Saturday and Sunday.
-
Type the start time and the end time for the window. A window's start time always occurs on the day specified in the Frequency column. The end time may occur the day afterward, depending on whether the start time is set before or after the end time.
Note: A 24-hour open window has both a start time and end time of 12:00:00 AM.
- Click Update.
To edit an indexing service window, click Edit next to the listing, make your changes, and click Update.
To edit the DMS connections or document collections that are selected for an indexing service window, click Edit in the Collections column, make your changes, and click OK.
To delete an indexing service window, click Delete next to the listing.
To view all indexing service windows, including the document scheduling window and purge window, click Show Advanced at the bottom of the listings.
To access the HTML Storage > Details and Indexing page, from which you can schedule full-text indexing, click HTML Storage at the bottom of the listing. For details, see Full-Text Indexing (Scheduling Full-Text Indexing).Using Multiple Indexing Service Windows
You may want to set up multiple document indexing windows in these situations:
- You want to control indexing for DMS servers in different time zones. Set up as many windows as you need for the different servers and time zones. When you enter the start and end times for a window, convert times to the time zone of the indexing server. Then select the applicable data sources for each window.
- You want windows to apply only to specific data sources or document collections. For example, if you want document collections to be updated at different times, then define as many document indexing windows as you need for the different times. Then select the sources/collections you want for each.
- You want processes to run during different times on weekdays and weekends. For example, if you want indexing to run at one time on weekdays and another time on weekends, define two document indexing windows. Select a frequency of Weekdays for one window and Weekends for the other.
Understanding Indexing Service Windows
Selecting Collections
When you add a data source connection or document collection (see Adding a Document Collection), it is automatically added to All document indexing windows.
When you add a data source connection or document collection and there is no All window, you must manually select the connection/collection in a document indexing window for indexing to occur. This is true for a collection even if the corresponding data source is already selected.
Automatic Scheduling of Indexing
The following items are required for automatic scheduling of indexing to occur for a document collection:
- Both a document scheduling window and a document indexing window are open
- The document collection is selected in a document indexing window (or you have an “All” window)
The oldest available jobs are scheduled first.
Adding or Removing Indexing Servers
To add an indexing server, complete these steps:
- On any new indexing servers, run the necessary setup programs. Refer to the West km Administrator Guide for details.
- At the Indexing Server Setup page, click Add Server in the left frame.
- In the right frame, type the name of the server in the Server Name text box and click Add.
The server is added to the list of indexing servers the left frame. To access a server's information, click its name. To change a server's temporary folder, click Edit next to the Temp Directory listing.
To remove an indexing server, complete these steps:
- If the indexing server you want to remove is your primary indexing server, first complete the steps under Changing the Primary Indexing Server to designate a different indexing server as primary.
- At the Indexing Server Setup page, click Remove Server in the left frame.
- Choose the server you want to remove from the Server Name drop-down list and click Remove.
If the removed indexing server will no longer be used in West km, refer to the West km Administrator Guide for information on removing West km software.
Changing the Primary Indexing Server
The primary indexing server schedules and controls indexing. If more than one indexing server is defined, you can change the indexing server that’s designated as primary.
To set an indexing server as primary, complete these steps:
- At the Indexing Server Setup page, click the name of the server that you want to designate as primary in the left frame.
- Click Make Primary.
The selected server is made primary and the indexing service windows are copied from the old primary indexing server to the new one.
