Annotating a Document

If your West km administrator has given you annotator rights, you can add comments to a document or mark a document as exemplar. Other West km members can then view your annotations.

To annotate a document,

  1. When you are viewing the text or summary of a document, click Mark File Exemplar or Add Comments to File in the left frame.

  2. Note: If a document already has annotations, you can also click an annotation icon (exemplar document icon, exemplar form icon, or comment icon) next to the document listing in the result list.

  3. Do one or more of the following:

    • To add a new comment, type your comment in the Add Comment text box and click Submit.
    • To edit a comment, click Edit beneath the comment in the Comments text box, make the change, and click Update. (If you have annotator rights, you can edit only comments that you submitted. If you have both annotator and information manager rights, you can edit all comments.)
    • To delete a comment you added previously, click Delete beneath the comment in the Comments text box, and click OK. (You can delete only comments that you submitted.)
    • To mark a document exemplar, select a Mark as … option (e.g., Mark as Exemplar Document) and click Submit.
  4. Click Close.

When changes are made to a document's annotations, the document is flagged for a profile metadata update at the next incremental update. For searches on annotations to work, indexing and full-text indexing are required.
