Monitoring Synchronization

To monitor the progress of synchronization processes, click Sync from the Statistics page.

Sync Counts

The Sync Counts table shows the cumulative number of documents that have been deleted from West km. Documents are deleted because they are in one of two states:

Deleted from Synchronization with DMS

The total number of documents deleted from West km during synchronization processes. These include documents that were deleted from your organization's file system, that were no longer part of a document collection, or that had no citations and were part of a document collections set to index only documents that contain one or more citations.

Deleted Manually from West km Interface

The total number of documents deleted from West km using the West km intranet pages. For details, see Deleting Documents from West km.


To view a listing of documents for a particular state, click a hyperlinked number in the Delete States table.

Sync Jobs

The Sync Jobs table lists synchronization processes that have run, including the date and time the job started, the date and time the job completed, the number of documents deleted, and the status of the job. The possible job status indicators are as follows:

Synchronization could be in process, could have encountered a problem, or could have been stopped, e.g., West km services were stopped.


If the synchronization job is not successful, a blank entry in the Completed column of the Sync Jobs table could indicate that the synchronization process had a problem accessing a particular collection of documents.

For more information about a synchronization job, click the Detail Record icon Detail Record icon next to its listing to display the Active Document Verification Checks table. This table can be useful for monitoring synchronization jobs, because it lists the results of document verification by each collection. The possible collection status indicators are listed below:

  • Synchronization was skipped because the Skip Sync Process option is selected for the collection; or
  • Synchronization was skipped because the number of documents marked for deletion matches the existing document count for the collection in West km. This logic prevents an entire collection of documents from being wrongly deleted if a DMS reports to West km that zero documents exist in a collection when documents actually do exist.

  • Note: Because of this logic, always have one active document indexed for each collection. If an active collection no longer contains any West km documents, then delete the collection from West km to delete the documents.

Synchronization of the collection is in process or the indexing service was stopped before it was able to finish.
