Starting Indexing

Manually Launching Indexing of Document Collections

Once you add a document collection, you need to index its documents. Complete these steps to manually launch indexing for one or more document collections. For example, you can bulk index newly added document collections or full re-index previously indexed collections. Or you can manually launch an incremental update to previously indexed collections.

  1. Make sure a document indexing window is defined for the document collection you want to index. For details, see Setting Up the Indexing Server (Defining Indexing Service Windows).
  2. On the Indexing Options page, select the check box to the left of each collection that you want to index.
  3. Click one of the following in the Tasks list:

    • Start Bulk Indexing: Index a newly defined collection or fully re-index a previously indexed collection. During a bulk index, all documents in the collection are indexed.
    • Start Incremental Update: Update the index for a previously indexed collection. During an incremental update, documents in the collection are indexed if they are new or modified and they have a date and time after the collection was last indexed.
  4. Click OK at the notification message. The indexing job is queued immediately, and indexing will start according to the collection's document indexing window.
  5. To monitor the indexing progress for a collection, click the collection name on the Indexing Options page to access indexing statistics on the Statistics page. For more information, see Monitoring Indexing.

Once indexing has occured on a document collection, you can also manually launch indexing of selected documents on the Statistics page.

Important: During bulk indexing and incremental updates, full-text indexes are not created or updated. (For more information, see Full-Text Indexing.)

Scheduling Automatic Indexing of Document Collections

To set a schedule to automatically run incremental updates for a document collection, define a document scheduling window on the Indexing Server Setup page. When both a document scheduling window and a document indexing window for a document collection are open, scheduling occurs. To create separate schedules for specific DMS connections or document collections, define multiple document indexing windows. For details, see Setting Up the Indexing Server (Defining Indexing Service Windows).

When you set up automatic indexing, it is recommended that you set the document scheduling window to a 24-hour open window (e.g., 12:00:00:00 AM–12:00:00:00 AM) and the indexing windows outside regular business hours.
