Manually Launching Indexing Jobs

During indexing, several indexing jobs occur automatically. On the Index Jobs page, you can launch these indexing jobs manually at any time.

To manually launch indexing jobs,

  1. Click Setup.
  2. Click the Indexing tab.
  3. In the left frame, click Index Jobs. The indexing jobs are displayed, including the dates/times that jobs were last started and completed and their status.
  4. Click the link for the indexing job you want to launch. See the table below for the available options.

    • When the job starts, the Last Started Job date/time is updated.
    • While the job is running, the Last Job Status indicates In Progess.
    • When the job is complete, the Last Completed Job date/time is updated and the Last Job Status indicates Done.

Search Metadata--Update

If clicked, the system immediately updates the database tables that store and query metadata used during a search. (The tables automatically update at the close of the document indexing window; you may want to invoke this process if that update fails.)

By default, an incremental update is performed, which updates profile data for documents that have changed since the last update. To perform a bulk update, which updates search metadata for all documents, select the Update for all documents check box before you click Update .

Depending on the size of your document collection, the update may take several minutes to complete.

Search Form Data--Update

If clicked, the system immediately updates the database tables that store the options available in drop-down lists and look-up controls on the Advanced Search page. (The tables automatically update at the close of the document indexing window.)

Cite Recognition

 

Firm Citing Ref Doc Counts--Update

If clicked, the system immediately updates the citing reference counts, regardless of the document indexing window.

The KM icon km citing references icon is used in your documents to indicate when a citation references other indexed documents at your organization. When there are more than n number of documents (set by the Firm Citing Reference Threshold setting), the icon is displayed.

Citing reference counts are automatically updated daily at the end of the document indexing window. The process runs after the process of updating document counts for the KeySearch hierarchy. Counts are not immediately updated when an administrator manually deletes a document from West km Express.

Document Synchronization

 

Sync Documents

If clicked, synchronization processes start. If the document sync window is not open, synchronization starts once the window opens.
