Importing Users
If you have an extensive list of users to add to West km, you can import the user data to the system. Importing user data requires creating an input file of comma-separated values (.csv) and then running the import.

The first step when importing user data is to create an input file in .csv format with the data for the users to be imported. In .csv files, data is separated by commas, and each row of data ends in a carriage return.
In the file, include the following data for each user you want to import, in the order listed:
- Network ID
- User Name
- Password (plain text)
- Email Address
- First Name
- Middle Name
- Last Name
- DMS User Id
- DMS Password
- Active User
- Administrator
- KeySearch Editor
- Annotator
- Vetting Editor
When creating the input file, observe the following:
- If you are using Integrated Windows Authentication (IWA) for West km, you must enter a value for the Network ID. You must include the domain (e.g., fish\u0023), and the value must uniquely identify the user.
- If you are using West km custom authentication, you must enter a value for User Name. The value must uniquely identify the user.
- For each user, you must enter a value for Email Address.
- If you want to leave a category blank (e.g., Middle Name), don't enter a value but insert a comma in the .csv file to represent the data category. If you are using Excel to create the .csv file, the data cell for that category can be left blank; the comma will be inserted during the save process.
- When setting a value for Active User, Administrator, KeySearch Editor, Annotator, or Vetting Editor, it must be either 0 (not selected) or 1 (selected).
Because Microsoft Excel can save data in .csv format, you may find Excel a useful tool in preparing your import data. For example, you might receive user data from a variety of sources or in a variety of formats: users from your account manager, authors and network IDs from DMS output, or network domain information from your IT department. As necessary, Excel can be used to separate columns, to append two columns into one, or to order columns.
Running the Import
The second step when importing user data is running the import, which reads the input file you created in .csv format and adds the unique users to the system.
To import users,
- Click Setup.
- Click the Professionals tab.
- In the left frame, click Import Users.
In the Import Source box, indicate the location of your .csv file. You can do one of the following:
- Type the path and filename of the .csv file you created.
- Click Browse and navigate to the .csv file you created.
Your .csv file can be located locally or on a network.

If a user you are importing already exists in the system and you want to update that user's information, select the Update Users check box.
For each user to be imported, the system checks either the Network ID or the User Name, depending on your West km authentication method. If the value being compared already exists for an entry, then information for the user is either imported or not, depending on your selection.
Review the records to be imported and verify their accuracy.
If you are using IWA for your authentication method, the Network ID is displayed. If you are using West km custom authentication, the User Name is displayed. (Passwords are not displayed.)
- To proceed with the import, click Save.
The Manage Users page is displayed, with the new user data at the top of the listing.
