Managing Document Store Locations

The Document Store Locations page lists the folder locations where HTML documents are stored. These are the documents that are converted to HTML from their native file formats for use in West km.

You can complete several actions on the Document Store Locations page, including adding, editing, and removing storage locations. However, it is recommended that you contact your West km representative before completing these actions. Many should be completed only in context with other procedures.

To access the Document Store Locations page,

  1. Click Setup.
  2. Click the HTML Storage tab.
  3. In the left frame, click Document Store Locations.

Adding a Storage Location

When you install West km, you designate a folder location (e.g., [Drive]:\HTMLStore) on the HTML repository/search server that will store HTML documents. If that location fills, you can

To add a storage location,

  1. Click New Store Location.

  2. In the New Store Location dialog box, enter the following:

  3. Server: The server containing the new storage location for HTML documents

    Location: The folder location (e.g., [Drive]:\HTMLStore) on the server that will store HTML documents

    Note: If you don't want the storage location on a local drive, you can enter a server and share using a UNC path (\\server\share\).

    Login Name and Password: Usually the credentials for the remote access account that is configured on the West km system

    Leave Free Space %: The percentage of free space to leave at the storage location when it fills

  4. Click Save.

If you have multiple storage locations, the system uses the first storage location listed until it fills. The storage limit is set by the Leave Free Space % value. When a location fills, the system begins using the next storage location listed. You can change the priority by dragging a row using the Priority icon.

If all storage locations are full, indexing is automatically suspended. After addressing the storage situation, you can unsuspend indexing at the Indexing, Manage Collections page. For details, see Suspending Indexing.

Editing a Storage Location

You can edit a storage location on the Document Store Location page. For example, you can change the percentage of free space to leave at a storage location. Click the server name, change the value in the Leave Free Space % box, and click Save.

It is recommended that you contact your West km representative before changing the server or location values for a storage location. If you want to move a storage location, changing these values should be completed only in context with other procedures such as suspending indexing, manually copying files, and setting permissions.

Removing a Storage Location

It is recommended that you contact your West km representative before removing a storage location.

If you remove a document store location that has content, a complete re-indexing of your West km system is required, including indexing and full-text indexing.

To remove a storage location, select the check boxes to the left of each storage location that you want to remove and click Remove Selected.
