Synchronizing Document Collections

Indexing is the process in West km that prepares documents for retrieval. Taken as a whole, it includes the indexing, synchronization, and full-text indexing processes. This topic explains synchronization.

The synchronization feature in West km compares the list of your currently indexed documents to the list of documents in your document management system or on your file system. It then removes indexed documents from West km that

The synchronization process evaluates one document collection at a time. When every document has been identified in a collection, the appropriate documents are removed. If a data source connection is down or synchronization fails for a collection, synchronization proceeds with the next collection.

When removing documents, synchronization deletes entries in the West km database, HTML document renderings, and profile metadata. The documents will still be represented in full-text indexes, however, until full-text indexes are updated.

To schedule synchronization, define a document sync window. For details, see Setting Up the Indexing Server. By default, a 24-hour window is used. For the fastest processing speed, set the window's start time outside regular business hours. To prevent potential conflicts, avoid overlapping the document sync window with vetting and indexing windows.

To manually launch synchronization at any time during the open window, go to the page at Setup, Indexing, Indexing Jobs, and click Sync Documents. For details, see Manually Launching Indexing Jobs. If the document sync window is not open, synchronization starts once the window opens.
