Starting Indexing

Once you add a document collection, you need to index its documents. You can do this by scheduling automatic incremental updates or by manually launching indexing.

Scheduling Indexing

To set a schedule to automatically run incremental updates for a document collection, define a document scheduling window on the Indexing Server Setup page. When both a document scheduling window and a document indexing window for a document collection are open, scheduling occurs. To create separate schedules for specific data source connections or document collections, define multiple document indexing windows. For details, see Defining Indexing Service Windows.

When you set up automatic indexing, it is recommended that you set the document scheduling window to a 24-hour open window (e.g., 12:00 AM–12:00 AM) and the indexing windows outside regular business hours.

Manually Launching Bulk or Incremental Indexing

When you manually launch indexing, you can do any of the following:

To manually launch indexing for one or more document collections,

  1. Make sure a document indexing window is defined for the document collection you want to index. For details, see Defining Indexing Service Windows.
  2. On the Manage Collections page, select the check box to the left of each collection that you want to index.
  3. Click the Actions list and then click one of the following:

    • Start Incremental Job: Update the index for a previously indexed collection. During an incremental update, documents in the collection are indexed if they are new or modified and they have a date and time after the collection was last indexed.
    • Start Bulk Job: Index a newly defined collection or fully re-index a previously indexed collection. During a bulk index, all documents in the collection are indexed.

The indexing job is queued immediately, and indexing will start according to the collection's document indexing window.

To monitor indexing progress, click Indexing Results in the left frame. For more information, see Monitoring Indexing Results. Once indexing has occured on a document collection, from the Indexing Results page you can manually launch indexing of selected documents.

Important: During bulk indexing and incremental updates, full-text indexes are not created or updated. For more information, see Scheduling Full-Text Indexing.
